Privacy notice

1Who we are and what this notice covers

  1. 1.1Affinity Search Partners is a recruiting firm that places contract, contract-to-hire, permanent and leadership talent in information technology and information systems roles. Our postal address is 5123 Virginia Way, Suite A23, Brentwood, TN 37027.
  2. 1.2This notice explains what we do with information about the people we write to and the people who visit this website. It covers this site together with the email, calls and letters that go out to people at other businesses as part of our recruiting work.
  3. 1.3When we write "we", "us" or "our", we mean Affinity Search Partners. When we write "you", we mean the person reading this notice, whether you found the site on your own or arrived here after receiving a message from us.

2Why you may hear from us

  1. 2.1We contact people at companies whose responsibilities appear to relate to hiring, managing or leading technical teams. We write to the work email address. Now and then we may also ring a business number or post a letter to the company's address.
  2. 2.2We only reach out when there is a reason to think our work could be useful to the person or the company. Bulk mail to lists of people with no connection to what we do is not something we send.
  3. 2.3If you would rather not hear from us, say so and it ends there. Clause 6 explains how.

3The information we hold

  1. 3.1Business contact details. Your name, your job title, the company you work for, your work email address, a business telephone number, and the address of your professional networking profile, in each case only where the detail is available to us.
  2. 3.2Company details. Information about the company itself, such as its industry, approximate size, location and the technology it appears to use.
  3. 3.3Public business activity. Job postings, press coverage and public posts by or about the company, where they help us judge whether our work is relevant.
  4. 3.4Deliverability checks. The result of checking whether an email address is likely to accept mail. We run the check ahead of sending, to avoid writing to addresses that no longer exist.
  5. 3.5Correspondence and notes. Messages exchanged with you, and the notes we keep about those exchanges and any calls.
  6. 3.6Website visits. This site places no cookies on your device and uses no analytics tools. The company hosting the site keeps the standard technical logs of requests that any web host keeps. Each page pulls its typeface from an outside font provider, and that provider sees the IP address of your device as it delivers the font file.
  7. 3.7Sensitive information about you, such as health, financial account, government identification or similar details, is neither sought nor wanted, and we ask you not to send it.

4Where it comes from

  1. 4.1Public sources, including company websites, job boards, published news and professional networking profiles.
  2. 4.2Commercial providers of business contact and company data, who supply details that are already business information rather than private information.
  3. 4.3You yourself, whenever you answer a message of ours, complete a form, or talk with us.

5What we use it for

  1. 5.1To decide whether our services are likely to be relevant to you and your company.
  2. 5.2To contact you at work about those services.
  3. 5.3To confirm that an email address is valid ahead of sending.
  4. 5.4To answer you when you write back, and, if you ask, to discuss and provide our services.
  5. 5.5To maintain our stop list, the record of everyone who has told us not to write again, so that every such request holds.
  6. 5.6To protect our systems and to comply with laws that bind us.
  7. 5.7Our email carries no open tracking. Whether you read a message is not something we record.

6How to make us stop

  1. 6.1Answer any of our emails and say so, in whatever words you like. No particular phrase is needed. If the contact was a call, tell the person on the line.
  2. 6.2We act on the request promptly, and always within ten business days.
  3. 6.3Your name and email address then go onto our stop list and stay there. The point of keeping them is that if the same details reach us again from another source, you are still left alone.

7Who we share it with

  1. 7.1Information about you is never sold or rented. Other companies do not receive it for their own marketing, and it is not passed on for targeted advertising of any kind.
  2. 7.2We use service providers who act on our instructions, for email and mailbox services, address verification, business data, hosting and storage. Their use of the information is limited to providing that service to us.
  3. 7.3We may disclose information to public authorities where a law obliges us to, or where handing it over is necessary to defend legal rights or to keep someone safe.
  4. 7.4If the business is sold or merged, the information may pass to the buyer or successor, who will be bound by this notice.

8Retention periods

  1. 8.1Contact and company details stay with us while they remain useful to our work. Anything that has gone stale is removed.
  2. 8.2Records about clients we have worked with stay for the life of the engagement and for whatever further period accounting rules and the law demand of us.
  3. 8.3The stop list is kept for the whole time that we write to businesses at all, because its entries only work while they exist.

9Security

  1. 9.1Only those who need the information for the purposes above can reach it, and reasonable safeguards protect it while we hold it.
  2. 9.2No way of storing or sending information is fully secure, so absolute security is not something we can promise.

10Your rights and choices

  1. 10.1You may request a copy of the information we have about you, along with its source. You may request a correction. You may request deletion, which we carry out apart from your stop-list entry, kept so that your request to stop keeps working.
  2. 10.2Depending on the state you live in, you may hold additional rights: a right to know, one to correct, one to delete, and one to refuse any sale or sharing of your personal information. Selling or sharing in that sense is not something we do, so that last right has nothing to act on here.
  3. 10.3Exercising a right changes nothing about how we deal with you.
  4. 10.4Requests can come by answering any of our emails, through our contact form on the main site, or by letter to the address in clause 1.1. To be sure we are dealing with the right person, we may ask you to verify the address our message went to.
  5. 10.5Our answer arrives within the period that applicable law allows for it.
  6. 10.6An agent you have authorised can act for you in making a request. Evidence of that authority may be asked for.

11Children

  1. 11.1This site and our email are for businesses and the adults who work in them. Nothing is knowingly gathered about anyone below the age of eighteen.

12Where we operate

  1. 12.1Our business runs out of Tennessee, in the United States. The providers who serve us may handle information in whatever locations they use.

13Changes to this notice

  1. 13.1If this notice changes, the date shown beneath the title changes with it. The version on this page is the current one.
